Recruitee’s Offer Letter feature allows you to create visually engaging, personalized web pages to present your job offers when a candidate reaches the offer stage in your hiring pipeline.
You can use offer letters to create a great candidate experience by sending professional, branded offer pages instead of a simple document.
Make sure to showcase your brand by customizing the look and feel of your offer page to match your company’s identity!
📌 Note: The Offer Letter feature is only available in our Advance and Optimize plans. |
Creating your Offer Letter
From a candidate’s profile (usually in the “Offer” stage), click “Prepare offer” or select “Prepare offer letter” from the three-dot menu.
Pick a template. Recruitee provides several pre-designed templates or themes, but you can also create your own fully customizable ones.
Personalize the Content. Fill in all the essential details. This typically includes:
A welcoming message and introduction.
The role description.
Salary details (value, currency, period, gross/net clarification).
Start date, position name, contract type, # of vacation days.
Any additional benefits or perks.
Concluding text with clear instructions on how the candidate should accept the offer (e.g., “Accept this offer by sending us an email,” “Call your recruiter”).
You can also customize the design of your offer web page. We cover how to do so here.
Before finalizing your offer, you can specify who on your team can view its sensitive details, such as the proposed salary. This allows relevant stakeholders to access the offer without revealing sensitive information.
Next, compose the email that will be sent to the candidate. This email will contain a prominent link to their personalized offer web page. You can also use placeholders in your email to auto-fill information!
You can now send your offer letter email or save it as a draft for other team members to review and provide feedback before sending the final offer to the candidate.
Editing and updating Offers
Once an offer is created (either as a draft or sent), it will appear in a dedicated section on the candidate’s profile in the “Overview” tab.
This section shows the delivery status, salary, start date, and who on your team can view it.
You can Edit the offer letter here by easily updating any details (e.g., salary) and resending the offer.
When resending an updated offer, Recruitee will ask if you want to notify the candidate (ideal for significant changes like salary) or don’t notify (useful for minor corrections like typos).
Creating and managing offer letter templates
After you’ve crafted and sent an offer letter, you can also save it as a template. This can be done from the “Offer Sent!” confirmation screen or from the candidate’s profile.
Templates are managed here: Settings > Templates > Offer letters.
Here, you can view, edit, duplicate, or create new offer letter templates from scratch.
This is ideal for setting up standard templates for different roles, departments, or even countries (if benefits or legal disclaimers vary).
💡 When editing templates in Settings, you can use placeholders (e.g., [candidate.first], [job_offer]). These will automatically populate with the specific candidate’s and job’s information when you use the template to create an actual offer. This is a massive time-saver and can reduce manual errors.
Customizing your offer letter
Recruitee’s Offer Letter feature uses an editor similar to the one used in the CareersHub. This editor gives you extensive control over the visual presentation of your offer page, allowing you to create a truly on-brand and impressive experience for your candidates.
Learn more about editing pages and themes here. You can also learn more about how this editor and the Careershub one are connected here.
To access the editor, simply click the “Customize” button when editing an offer letter or offer letter template. The editor will open, showing you a preview of the offer letter and customization options on the right.
Click “Edit theme” to make visual changes to the theme. This can include changing colors and fonts, personalizing the navigation, and customizing the footer.
Below the theme, you will find the sections that make up the building blocks of your offer page (e.g., navigation, offer heading, intro text, details, benefits). You can:
Add new sections.
Edit existing sections (content, layout, imagery).
Reorder sections to structure the information flow perfectly.
Use imagery and visual elements to highlight key information.
💡 You can create highly tailored offer pages. For example, you could have a full-width hero image, dedicated sections for team introductions with photos, visually appealing benefit icons, or embedded videos. The goal is to make the candidate feel valued and excited about the opportunity presented.
You can also learn more about how the offer letters editor and the one from the Careershub are connected here.

Frequently Asked Questions (FAQ)
Frequently Asked Questions (FAQ)
Q: Does a candidate need to log in to Recruitee to view the offer letter?
A: No, candidates receive an email with a unique, direct link to their personalized offer web page. No login is required for them to view it.
Q: Can candidates e-sign the offer through this feature?
A: No, the offer letter feature is only meant to present the offer. For electronic signatures, you need to use a separate e-signature integration from the Recruitee Marketplace (like DocuSign, Dropbox Sign, or SignRequest) and send those documents separately.
Q: What if I made a mistake in an offer letter I’ve already sent?
A: You can edit the sent offer directly from the candidate’s profile. After making your corrections, you can save and publish the changes. Recruitee will then give you the option to send an update email to the candidate (recommended if terms changed) or to update it without notifying them (if it was a minor internal correction or typo).
Q: How can I reuse an offer design or structure I really liked?
A: When you send an offer, or from the offer section on a candidate’s profile, you have an option to “Save this offer as a template.” Alternatively, you can create and manage templates directly in Settings > Templates > Offer letters.
Q: Where can I find the offer once it’s created or sent?
A: A dedicated “Offer letter” section will appear on the candidate’s profile, typically under the “Overview” tab. It shows the status (draft/sent) and allows you to preview or edit it.
Q: What happens if I delete an offer letter from the candidate’s profile?
A: If you delete the offer letter from the candidate’s profile in Recruitee, the candidate will no longer be able to access it via the link they received. If they try to open the link, they will see a ‘Page not found’ error. The offer details themselves will also be removed from Recruitee.
Q: Can I hide the offer from the candidate (make the link inactive) but keep the offer details in Recruitee?
A: Yes, you can. On the candidate’s profile, within the “Offer letter” section, you will find an option to deactivate the offer link. Doing this will prevent the candidate from viewing the offer page via the URL they received; they will see a ‘Page not found’ message. All details of the offer will remain stored in Recruitee for your reference. You can later choose to “Reactivate link” if needed, allowing the candidate to access the offer again using the same URL.
Q: How long is an offer letter link active/published for the candidate to view?
A: The offer letter link remains active until:
The candidate profile is deleted from Recruitee.
You manually deactivate a link from the candidate’s profile.
The link automatically deactivates (by getting unpublished) after 90 days from when it was last sent
You can reactivate a deactivated link if necessary
Q: What permissions do I need to create and manage Offer Letters?
A: To create and send offer letters, your hiring role needs the “Manage offer letters” permission.
Q: What languages can I use for my Offer Letters?
A: You can create Offer Letters in several languages, including English, Dutch, German, and French. When you prepare an offer, you’ll see a language dropdown in the offer editor if your company has multiple languages enabled in your main Recruitee settings (found under Settings > Company Settings > Languages). The language you pick for the offer will change default text, like the “View details” button in the email sent to the candidate, and other standard phrases (e.g., “Monthly”). If your company uses only one language in Recruitee, your offer letter will automatically be in that language, and you won’t see a language choice in the offer editor.
Q: Who can see that I’ve sent an Offer Letter to a candidate, and who can see its details?
A:
Delivery Status & Basic Information: Team members who have access to the candidate’s profile will be able to see the “Offer letter” card, its delivery status (e.g., “Draft,” “Sent,” “Link deactivated”), and when it was sent. They can also see who sent it in the “Activity” tab.
Offer Details (Salary, etc.): Only team members who were specifically addded to the offer’s “Visibility options” (during offer creation or by editing it later) and account Administrators will be able to see the full details of the offer, such as salary, specific benefits, and the content of all fields.
Email in “Messages” Tab: The email sent to the candidate containing the offer link will also respect these visibility settings. It will only be visible in the candidate’s “Messages” tab to those team members who were granted visibility to the offer’s details.
Q: How do I resend an offer letter if the candidate didn’t receive it or if I want to send a reminder?
A: On the candidate’s profile, find the “Offer letter for [Candidate Name]” section. Click the three-dot menu next to the offer and select “Send again to candidate.” This will open the “Before you send...” dialog, allowing you to review the email (and edit it if necessary) and resend the offer. This action also reactivates the offer link if it was previously deactivated.
Q: What happens if a candidate is assigned to multiple jobs? How do I create an offer for a specific job?
A: When you initiate the “Prepare offer” action for a candidate who is assigned to more than one active job, Recruitee will ask you to select the specific job for which this offer is being made. All details and placeholders in the offer letter will then be based on the job you select.
Q: How can I change the logo on the offer letter
A: You can change the logo while customizing the design of a specific offer letter or an offer letter template. In the “Customize” view (accessed via the “Customize” button when preparing an offer, or by editing a template in Settings > Templates > Offer letters), you’ll typically find options to edit the header/navigation section where the logo is placed.
Learn more about editing themes and page components here.
Q: How can I present benefits with custom icons or photos
A: The design editor allows you to create a visually appealing list of benefits using your own icons, illustrations or photos. This method allows you to go beyond simple text and create a more engaging and branded presentation of your company perks using your own visuals. Here’s how:
Customize Design: Click the “Customize” button at the top right of the offer editor.
Add a “List” Section: Click in between existing sections to add a new section to your offer page, then select the “List” section type from the library.
Detail Each Benefit: For each benefit you can upload your custom icon or illustration for that specific benefit.
Arrange and Style: Adjust the layout and styling of the list section as needed to match your brand.
(Optional) Disable Default Benefits Section: If you only want your custom visual list to appear, you can toggle off the standard “Benefits” section in the “Personalization” tab. This prevents a text-only list from also showing.
