Host video interviews with Microsoft Teams integration

Connect Microsoft Teams to Recruitee so every video interview you schedule gets a Teams meeting link automatically.

If your team already meets in Microsoft Teams, there's no need to create meeting links by hand. Connect Teams to Recruitee once, and every video interview you schedule comes with a Teams link that's added to the invitation for you.

There are two things to set up: the integration itself, which an admin enables for the whole account, and your personal Microsoft account, which has to be connected before you can host a meeting. This guide walks through both, then shows you how to schedule and join an interview.

Note: Enabling the integration requires access to the Marketplace and integration settings in your hiring role. Anyone with the Schedule events permission can then schedule a Teams interview, as long as they've connected their own Microsoft account.


Set up the integration

Do this once per Recruitee account. If Microsoft Teams already appears as a connected app in your Marketplace, skip ahead to Connect your Microsoft account.

2. Click Integrate.

3. Read the permissions overview and confirm with Accept and integrate.

Recruitee and Microsoft Teams are now connected. Open Settings tab in the Microsoft Teams in the Marketplace at any time to connect your own account, see which teammates have connected theirs, or remove a connection.

Note: Your Microsoft tenant may require an administrator to approve the Recruitee app before anyone can connect. If you see a "Need admin permission" message during sign-in, ask your Microsoft 365 admin to grant consent, then try again.


Connect your Microsoft account

Enabling the integration doesn't make you a meeting host — each person who'll host interviews needs to connect their own Microsoft account. Recruitee generates the meeting under the host's Teams account, so the host must be connected before you can pick them.

From the Marketplace

1. Go to Marketplace > Categories > Productivity and communication and and select Microsoft Teams. Click Settings tab next to Description tab.

2. Click Connect your account.

3. Sign in to your Microsoft account when you're redirected.

You'll land back in Recruitee with your account connected.

While scheduling an event

If you don't have access to the Marketplace, you can connect from the scheduling flow itself.

1. Start scheduling an event — from a candidate profile, or from Events widget on your dashboard.

2. Choose Microsoft Teams as the Event type.

3. Click Connect now in the info box.

4. Sign in to your Microsoft account when you're redirected.

You'll land back in Recruitee, ready to host Teams interviews.

Tip: Ask everyone who regularly runs interviews to connect their account early. It saves the scramble of finding an available host five minutes before a call.


Schedule a Teams video interview

Once your account is connected, Teams becomes one of the video providers you can pick while scheduling an event.

1. Set up the event as usual: date, time, duration, and interviewers.

2. Choose Microsoft Teams as the Event type.

4. Pick the host. Only teammates who've connected their Microsoft account appear in the list.

5. Finish scheduling and send the invitations.

Recruitee generates the Teams link automatically and adds it to the invitation everyone receives.

Note: Only the people you've added as interviewers — plus the candidate, if you invite them — get the link. If someone else needs to join, add them to the event rather than forwarding the link.


Join the interview

Interviewers can reach the meeting from two places in Recruitee:

  • The event details in your Calendar.

  • The event banner on the candidate's profile.

Click Start interview to open the meeting in Microsoft Teams.

Tip: Joining from the candidate's profile keeps their CV, notes, and evaluation form one tab away while you interview.


Reconnect a disconnected account

Microsoft sign-ins expire — usually after a password change, a revoked session, or a tenant policy update. When that happens to a connected host, Recruitee can no longer create meetings on their behalf and sends an Action required: your Microsoft Teams integration email.

To fix it, the affected person reconnects their own account:

1. Go to Marketplace > Categories > Productivity and communication and and select Microsoft Teams. Click Settings tab next to Description tab.

2. Find your name in the list of connected accounts and remove the connection.

3. Click Connect your account and sign in to Microsoft again.

Important: Reconnecting doesn't repair links for interviews that were already scheduled. Check any upcoming Teams interviews hosted by that person and reschedule them if the link is missing.

Tip: If the same person keeps getting disconnected, it's usually a Microsoft-side session or conditional access policy rather than a Recruitee setting. Your Microsoft 365 admin can check the app's consent and sign-in logs.


Remove the integration

You can disconnect a single person or the whole integration.

1. Go to Marketplace > Categories > Productivity and communication and and select Microsoft Teams. Click Settings tab next to Description tab.

2. To disconnect one person, remove their connection from the list of connected accounts.

3. To disconnect the whole account, select Remove integration and confirm.

Important: Removing the integration stops Recruitee from generating new Teams links. Existing events keep the links they already have, but you won't be able to reschedule them as Teams interviews until the integration is enabled again.


What data do Recruitee and Microsoft Teams exchange?

  • The candidate's name is saved as the meeting topic in Microsoft Teams.

  • Recruitee saves the meeting ID and the join link.

  • No personal information from Microsoft Teams is saved in Recruitee.

Note: If you'd rather keep the candidate's name out of Teams and external calendars, turn on Don't show candidate's full name under the privacy settings for synced calendars while scheduling. See Schedule events with candidates and team members.


FAQs

Why doesn't someone show up in the host list?

They haven't connected their personal Microsoft account, or their connection has expired. Ask them to connect it from the Marketplace or from the scheduling flow.

Can I change the meeting host after the event is scheduled?

You can change the Microsoft Teams event host by editing the event, but the Organizer is fixed once the event is created — if you need someone else to organize it, cancel the event and schedule it again.

Do I need a paid Microsoft Teams licence?

Each host needs a Microsoft account with a licence that lets them create Teams meetings. Recruitee doesn't add or change Microsoft licences.

What happens to scheduled interviews if we remove the integration?

The events stay in Recruitee and the existing Teams links keep working, but Recruitee won't generate new ones.

Can I use Microsoft Teams and another video provider at the same time?

Yes. The provider is chosen per event, so you can run some interviews in Teams and others in Google Meet, Zoom, or Jitsi.
