Copy a candidate's profile to another job, talent pool, or company

Create a copy of a candidate's profile in another job, talent pool, or company account, and see what carries over.

Sometimes a candidate belongs somewhere else — a colleague's opening in a sister company, a talent pool you keep for next year, a second role they'd be a great fit for. Copy profile creates a fresh candidate profile from the one you're looking at, in whichever job or talent pool you choose.

A copy is a new, independent profile. It carries the candidate's core details and files, but not your team's history with them — no notes, evaluations, emails, or activity log. The original stays exactly as it is.

Note: You need the Export data permission in the company you're copying from, and the Manage candidates permission in the company you're copying to. You also need to be an active member of both companies.

Copy a candidate's profile

Open the candidate's profile.

Click the three dots in the top right corner.

Select Copy profile.

In the Company dropdown menu, choose where the copy should go. Your current company is selected by default, so you can also copy within the same account.

Under Assign to..., pick one job or talent pool. Use Search jobs and talents pools to narrow the list — results are grouped under Jobs and Talent pools.

Click Copy candidate.

You'll see the confirmation Candidate has been copied, and the new profile appears in the job or talent pool you chose.

Note: You can only pick one job or talent pool per copy. Selecting a second one replaces your first choice.

Tip: Need the candidate in three places? Repeat these steps once per destination. There's no bulk version of this action — it works on one candidate at a time, from their profile.

If the job has more than one work location

When the job you picked spans several work locations, an extra step appears after you click Copy candidate.

Select the candidate's preferred work location. You can choose more than one.

Click Continue.

To add the candidate without a location, click Skip. To go back and choose a different job, click Back.

Which companies and jobs you can choose

The Company dropdown menu only lists companies where you're an active member and you have the Manage candidates permission. If a company you expect is missing, that's the first thing to check.

Under Assign to..., you'll see:

  • Published, Internal, and Closed jobs.

  • All talent pools in that company.

Draft and archived jobs aren't available as destinations. Publish the job first, or copy the candidate into a talent pool instead.

What gets copied

The copy keeps the candidate's own information:

  • Name, salutation, and job title

  • Email addresses and phone numbers

  • Links and social profiles

  • CV

  • Cover letter, both the text and the uploaded file

  • Profile fields and their values, in the same order as the original

  • The source the candidate came from, which is recreated as a source tag on the copy

The CV is re-read on the new profile, so the copied candidate becomes searchable by CV content a few moments after you copy them.

Note: Profile field visibility settings aren't carried over. Copied fields use the destination company's default visibility, so check them if you rely on restricted fields.

What doesn't get copied

Everything your team built up around the candidate stays with the original profile:

  • Team notes

  • Evaluations, scorecards, and ratings

  • Emails and email threads

  • The activity log and timeline

  • Candidate tags you or your team added

  • Tasks

  • Followers and assigned team members

  • Files in the Files tab other than the CV and cover letter

  • Questionnaire and open question answers

  • EEO answers

  • Referral information

  • GDPR consent status and retention date

The copy is a separate record with its own candidate ID. Deleting, anonymizing, or editing one profile has no effect on the other.

Important: The copy starts with no GDPR consent status and no retention date. It won't be picked up by the destination company's automatic retention rules until a consent status is set for it. If you work to a retention policy, review the copied profile's GDPR settings after copying.

Where the copied candidate lands

In a job, the copy is placed in the Sourced stage of the pipeline — whatever the original candidate's source was, and whichever stage they sit in on the original profile.

In a talent pool, the copy is simply added to the pool.

Note: The candidate's source is copied across, so you'll still see where they originally came from on the new profile. It just doesn't affect which stage they start in.

Here are a few options for using the Copy Profile function

Share a strong runner-up with a sister company.
Your Berlin account interviewed a great candidate who narrowly missed out. Copy their profile into the Amsterdam account's open role, then let that team pick up the conversation fresh — without your interview notes and scores coming along.

Build next year's talent pool.
At the end of a hiring round, copy the near-misses into a Future openings talent pool. The original profiles stay in the job with their full history intact for reporting.

Reuse a profile for a second role.
A candidate who applied for a Support role also fits an Account Management opening. Copy them into that job, and the new team starts from the Sourced stage with a clean pipeline.

Tip: If you want the candidate in a second job within the same company and you want their history to come too, use + Assign on the profile instead. That adds the same profile to another job rather than creating a new one.

Frequently asked questions

What's the difference between copying and assigning a candidate?

Assigning adds the same profile to another job or talent pool in the same company, keeping all notes, evaluations, and history. Copying creates a new profile — which is what you need when the destination is a different company account.

Can I copy several candidates at once?

No. Copying works on one candidate at a time, from their profile. Repeat the steps for each candidate.

Can I copy to more than one job at a time?

No. Pick one job or talent pool per copy, then repeat if you need more destinations.

Why can't I see Copy profile in the More menu?

Your role doesn't have the Export data permission.

Why is a company missing from the Company dropdown?

You'll only see companies where you're an active member and have the Manage candidates permission. Blocked companies don't appear either.

Why can't I find a job in the list?

Draft and archived jobs can't be used as destinations. Only published, internal, and closed jobs appear, along with all talent pools.

Does copying change the original profile?

No. The original stays exactly as it is, with all its notes, evaluations, emails, and activity.

Do the candidate's tags come across?

Tags your team added don't. The candidate's source is recreated on the copy as a source tag.
