Remind candidates about an upcoming event

Send automatic email reminders before an event so candidates join or arrive on time.

Candidates often book an interview days or weeks ahead, then forget about it. Event reminders are automatic emails that Tellent Recruitee sends to candidates before the event starts. They include the event name, date, time, interviewer names, and a link to the event.

You set reminders while scheduling the event, so you don’t need to manage them afterward. You choose how far in advance each reminder goes out, and you can add as many as you need.

Note: To set reminders, your hiring role needs the Send emails permission. Without it, the Reminders section doesn’t appear, and the scheduling window shows “You don’t have permission to send emails to candidates. Contact your company administrator to adjust your hiring role.”

Add a reminder while you schedule an event

In the second step of the scheduling window, you’ll find Reminders below Invitations.

Open the candidate’s profile and click Schedule. Fill in the event details, such as the date, time, event type, and interviewers, and click Continue. Scroll down to Reminders and select Remind candidate. Click the time field to choose when the reminder goes out, then click the button in the bottom-right corner to schedule the event.

Note: The button label depends on who will be notified. It reads Schedule and invite for a new event, Schedule and notify when you update an event that’s already scheduled, and Schedule when nobody will be notified. Your reminder is saved in all three cases.

Tip: Reminders are separate from invitations. If you don’t send the candidate an invitation, they still get the reminder.

Choose when the reminder is sent

Pick a ready-made time

Click the time field to open the list. You can choose from nine options:

  • 1 minute before, 5 minutes before, 15 minutes before, or 30 minutes before

  • 1 hour before, 2 hours before, or 12 hours before

  • 1 day before or 2 days before

Set your own time

If none of the ready-made options fit, click Custom… at the bottom of the list. Type a number, choose minutes, hours, or days, and click Save.

Note: A reminder can’t go out more than 30 days before the event. If you enter more than 30 days, you’ll see “Reminder must be within 30 days before your meeting.” and Save stays unavailable until you lower the number.

Send more than one reminder

A reminder a day ahead gives candidates time to prepare, while one just before the start reminds them to join on time. There’s no limit on the number of reminders.

Click + Add another below your first reminder and choose a time for the new one. Each new reminder defaults to 15 minutes before, so change it if you need a different time.

To remove a reminder, click the x next to it. The x only appears when you have two or more reminders. To remove the last one, clear the Remind candidate checkbox instead.

Note: Tellent Recruitee remembers the timing you used last and suggests it the next time you select Remind candidate. The checkbox itself always starts cleared, so select it for every event that needs a reminder.

Add reminders to an Event scheduler link

With an Event scheduler link, candidates pick their own time slot. Add reminders to the link once, and every candidate who books through it gets them automatically.

Go to Settings > Workflow > Event scheduler and create a new link or open an existing one. Scroll down to Reminders, select Remind candidate, and choose your timing. Add more reminders with + Add another if you need them, then click Save link.

What the candidate receives

The reminder email uses a fixed template. You can’t edit the text or add your own message, but Tellent Recruitee fills it in with your event’s details:

  • A subject line such as “Reminder: Video interview on 14 November 2026 10:00 AM — 10:30 AM Europe/Amsterdam (+01:00)”

  • The heading “Upcoming event with [company name]:”

  • The event name

  • The date, time, and time zone of the event

  • The names of the interviewers

  • A link to the event

The sender name is your company name followed by the job title, for example “Flowershop/Marketing Manager”.

Note: Every reminder is logged on the candidate’s profile under the Activity tab, for example: “Event reminder about a(n) Video interview on 14 November 2026 10:00 AM — 10:30 AM Europe/Amsterdam (+01:00) was sent to the candidate.”

What happens when the event changes

Reminders follow the event, so you rarely need to update them:

  • You move the event to a new time. The reminders move with it and are recalculated from the new start time.

  • You cancel or delete the event. The reminders are removed and nothing is sent.

  • The reminder time has already passed when you schedule. That reminder isn’t sent. For example, if the event starts in 10 minutes and you set a reminder for 15 minutes before, the moment to send it has already gone.

  • The candidate has no email address. The Remind candidate checkbox is grayed out. Add the email address in the No candidate email address box that appears in the same step, or on the candidate’s profile.

How teams use event reminders

Prepare candidates for a first-round video call

For a video call two weeks out, set two reminders: 1 day before, so the candidate has time to prepare, and 15 minutes before, so they join on time.

Give candidates time to plan travel for an on-site interview

Set one reminder 2 days before, so the candidate can plan the trip. Add another for 2 hours before, when they may be on their way. Use Custom… if you’d rather send the first one three days ahead.

Remind every candidate who books a screening call

Add a reminder set to 1 hour before to your Event scheduler link once. Every candidate who books through that link gets the reminder, so you don’t need to open each event individually.

Frequently asked questions

Can I change the text of the reminder email?

No. The text is fixed and filled in with your event’s details automatically. To add your own message, use the invitation email in the scheduling window instead.

How many reminders can I send for one event?

As many as you need. The only limit is timing: each reminder must go out within 30 days before the event.

Does the candidate get the reminder in their own language?

The email is sent in the event organizer’s language, or in your company language if the organizer’s language isn’t set. For events booked through an Event scheduler link, it uses your company language.

Are reminders turned on by default?

No. Remind candidate starts cleared for every event. Tellent Recruitee remembers the timing you used last and suggests it when you select the checkbox.

Why can’t I see the Reminders section?

Your hiring role doesn’t have the Send emails permission. Ask your company administrator to turn it on in Settings > Hiring roles, on the Features tab.

Do interviewers get reminders too?

No. Event reminders only go to the candidate. Interviewers see the event in their connected calendars, and their own calendar reminders apply.
