Track job performance with the Jobs board

Use the Jobs board template to see how many jobs you publish, fill, and close, and how long it takes.

Recruitment leaders need to see how all the open jobs are doing without opening each one. The Jobs board template gives you that big picture. It shows how many jobs you published, filled, and closed, how quickly you fill them, and which jobs have been open for too long.

Tip: The Jobs board works well for managers, experienced recruiters, and executives who oversee hiring but aren't involved in it day to day. Check it once a month to follow jobs as they open and close.

Note: To add a board, you need the Manage report dashboards permission. The board only shows data for jobs you have access to. To see data for every job in your company, you also need the View all existing jobs data permission.

Add the Jobs board

Go to Reports.

At the bottom of the sidebar, click Add new.

In Board templates, find Jobs. To preview the board with your company's data rather than sample data, turn on Show my real data.

Click Use template.

The board is added to your sidebar. It's private, so only you can see it until you share it.

Note: If you're an admin, you might already have a Jobs board in your sidebar. Recruitee creates a set of starter boards for admins automatically.

Key data

The top of the board has six numbers that summarize your jobs:

  • Published: the number of jobs published or set to internal use in the date range. A job you republish counts from its latest publish date.

  • Filled: the number of jobs where every opening was filled in the date range.

  • Closed: the number of jobs closed in the date range.

  • Fill rate: the percentage of openings filled across your published jobs. Recruitee works out the fill rate for each job, up to 100%, and then shows the average.

  • Time to fill: the average time from publishing a job to hiring the candidate who fills its last opening.

  • Time to close: the average time from creating a job to closing it.

Note: Recent jobs have had less time to fill their openings, so your fill rate for a short, recent date range can look lower than it really is.

Advanced reports

Job activity over time

A chart showing how many jobs changed status each week, split by the status they moved to: Draft, Published, Internal use, Closed, or Archived. Use it to see when your team is most active, like a spike of new jobs at the start of a quarter.

This chart counts status changes, not unique jobs. A job that you publish, close, and then publish again appears in more than one bar.

Open time per job

A table showing how long each job has been open, with the longest-open jobs at the top. Open time includes all the time a job spent Published or Internal use. If you closed a job and reopened it later, both open periods count.

Use this report to find jobs that have been open too long. Evergreen jobs — jobs you keep open all year round — stay at the top of this list, so keep that in mind when you compare jobs.

Fill rate per job

A table showing the percentage of openings filled in each job. This matters most for jobs with several openings. For example, a job with four openings and three hires has a 75% fill rate.

Published jobs per department

A pie chart showing how many jobs are currently published or set to internal use in each department. Use it to see which departments are hiring right now.

Filled jobs per department

A pie chart showing how many jobs were filled in each department. Use it to see where your team has hired most recently.

Change the date range and filters

Each report on the board has its own default date range:

  • Published, Filled, and Closed: last 30 days

  • Fill rate, Time to fill, Time to close, and Job activity over time: last 90 days

  • Open time per job, Fill rate per job, and both department reports: last 365 days

To look at every report over the same period, pick a date range at the top of the board. This replaces the default date range on every report. To narrow down the data, for example to a single department or recruiter, click Add filters.

To go back to each report's default settings, click Clear filters.

Tip: If you only check the board every few months, set a longer date range so you don't miss anything since your last visit.

Note: All reports on this board include archived jobs.

Frequently asked questions

Why is my fill rate lower than I expected?

Fill rate includes jobs that haven't been filled yet. If your date range includes jobs that you published recently, they've had less time to hire, which lowers the average.

Why does Time to close look longer than Time to fill?

Time to close starts when you create the job, but Time to fill starts when you publish it. A job that stayed in draft for a while adds that time to Time to close only.

Can I change the reports on the board?

Yes. Once you've added the board, you can edit, add, or remove reports to fit your team's needs.
