Create new employees in KiwiHR from your Recruitee account.

Manage your onboarding and other HR processes with KiwiHR. The KiwiHR integration allows Recruitee users to easily send new hires from their Recruitee account to KiwiHR with just a few clicks.

Send new hires to KiwiHR

The following steps will help you create a new employee profile in the KiwiHR account from Recruitee.

1. Go to the hired candidate's profile. Click More and select Send to KiwiHR in the dropdown menu.

2. Check the information on the form and correct it if necessary. Here is a dropdown explanation of the form composition: Professional, Employment details, Company structure, Personal, and Address (as an additional section).

Professional

All available information, such as name, email, and phone number, is pre-filled automatically. Gender can also be pre-filled if selected in the Gender profile field on the candidate profile.

Employment details

The fields Location and Position are configured in your KiwiHR account.

Navigate to Settings in your KiwiHR account, and in Company structure, configure the Location and Position.

If you have previously changed the candidate to the Hired stage, a Start date can already be defined, which will pre-fill the Employment start date.

When the candidate is marked as Hired, a display will appear where you can add the Hire date, the Start date, and the Work location.

Company Structure

The Teams and Manager fields are configured in the KiwiHR account. To configure the Teams field, go to Settings in your KiwiHR account and then navigate to Company structure. The Manager field contains a list of user profiles in your company's KiwiHR account.

Personal

Date of birth and nationality can also be pre-filled if these fields are filled in on the corresponding profile field on the candidate profile.

Address

Addresses cannot be automatically pre-filled because this field in Recruitee is a single text area. However, they will be shown in the candidate form to help you fill them in manually.

3. When the Candidate's information is sent to KiwiHR, a KiwiHr badge is displayed next to the candidate's name. Hovering over the badge confirms that the candidate data was sent to KiwiHR.

On the right side of the candidate profile is a button called View on KiwiHR, which will redirect you to the employee profile created in KiwiHR.


Setting up the integration

To enable the integration, please follow the steps on your KiwiHR and Recruitee accounts. To configure the integration, specific roles in both accounts will be required.

In KiwiHR

The KiwiHR user role needs Admin permission to generate an API access key.

1. Go to Settings and click on Configuration. Find Integrations and click on API keys.

2. Give the key a name and click Add key.

3. Copy the API key and save it in a secure location. It will not be shown again.

⚠️ Important information: You need this key to set up the integration in your Recruitee account.

In Recruitee

The Recruitee user role needs permission to enable Manage integrations.

1. Go to Marketplace > Categories > HRIS and select KiwiHR to activate the integration.

2. Read the information and confirm by clicking Accept and integrate.

3. Fill in your KiwiHR credentials and click Integrate.

4. Recruitee and KiwiHR are now integrated.

Under Manage, you can change your credentials, select who can view and send profiles to KiwiHR, and remove the integration.


Custom fields mapping

Custom fields can be integrated when enabled in KiwiHR and Recruitee. These fields are important as they provide greater flexibility and accuracy for transferring candidate information between the two platforms.

⚠️ Important information: When mapping custom fields, ensure consistency between field types; for example, match number fields with number fields and text fields with text fields.

In KiwiHR

To enable Custom fields, go to the Account Settings under Employee Data.

These custom fields will be visible in the Employee profile sections. The profile sections that support custom fields include Address, Employment Details, Payroll Information, Personal, and Professional.

In Recruitee

1. To enable custom fields, go to Settings and find the fields you need under Templates.

Three types of templates can be configured and used for field mapping: profile fields, Questionnaires, and Screening questions.

Data sent by Recruitee to KiwiHR

The data pertains to the candidate profile information sent from Recruitee to KiwiHR to create a new employee profile.

  • Candidate's first and last name, email, phone number, gender, nationality, date of birth, address, and other custom fields defined in KiwiHR.

Note: Recruitee does not save any personal data from KiwiHR.
