Connect your pipeline stages to reports

Give each pipeline stage a stage type so candidates moving through it are counted correctly in your reports.

Every company names its hiring stages differently. One team's "Culture chat" is another team's "Second interview." Stage types give reports a shared language: each stage you create is linked to a fixed type, like Interview or Offer, so reports can compare stages across all your jobs.

If a stage has no type, candidates in that stage won't be counted in reports that are based on stage types. It only takes a minute per stage to set this up, and you can do it on a pipeline template or on a single job.

Note: To edit pipeline templates in Settings, you need permission to manage templates. To edit a single job's pipeline, you need permission to manage jobs.

How stage types work

Your pipeline is split into groups, and each group supports different stage types:

  • Applicants: stages that show where a candidate came from. Their types (Apply, Sourced, and Referred) are set automatically, and you can't change them.

  • Active process: the stages of your hiring process. Choose from Apply, Phone screen, Interview, Evaluation, or Offer. You can also leave a stage as No type, but it won't be counted in stage-type reports.

  • Hires: stages for hired candidates. These always use the Hired type, which is set automatically.

Stages with a type show a colored square next to their name, so you can see at a glance which stages are connected to reports.

Note: You can't rename stage types or create your own. You can name your stages anything you like, though. The type only controls how the stage is counted in reports.

Connect a pipeline template to reports

Set stage types on a pipeline template, and every job that uses that template gets them too.

Go to Settings > Recruitee > Templates > Pipelines and select a template.

Next to a stage in the Active process group, click the pencil icon (Edit stage).

Open the Type menu and select a stage type.

Click Save.

Repeat for each stage you want to connect to reports.

Tip: Adding a new stage? Pick its type when you create it, so it's counted in reports from the start.

Connect a job's pipeline to reports

If a job has its own pipeline, or you want to change a type for one job only, set stage types in the job editor.

Go to Jobs and open a job.

Click Edit in the top-right corner.

Go to the Workflow tab.

Next to a stage, click the pencil icon (Edit stage).

Open the Type menu and select a stage type.

Click Save.

Repeat for each stage you want to connect to reports.

Note: If the job uses a pipeline template, editing one of its stages creates a custom set of stages for this job. Later changes to the original template won't affect this job.

Map your stages to stage types

Your team uses four stages in its active process: Screening call, Tech interview, Team interview, and Offer sent. To connect them to reports, set:

  • Screening call to Phone screen

  • Tech interview and Team interview to Interview

  • Offer sent to Offer

Now your reports show how long candidates spend in interviews across all your jobs, even if other teams name their interview stages differently.

Frequently asked questions

What happens to candidates in a stage without a type?

They still appear in the job's pipeline, but they aren't counted in reports that group candidates by stage type.

Can two stages have the same type?

Yes. For example, you can set both a first and a second interview to Interview.

Why can't I change the type of the Applied, Sourced, Referred, or Hired stages?

These types are fixed so Recruitee can track where candidates came from and who was hired. They're set automatically.

Does switching a job to another pipeline template affect my reports?

It can. When you switch templates on a job that already has candidates, you'll choose which new stage to move them to. Recruitee asks you to confirm that you understand this can affect data in reports.
