Collecting candidate titles (such as Ms. or Professor) helps hiring teams communicate with candidates professionally and respectfully.
It shows attention to detail and helps create a positive candidate experience from the very first interaction.
How it works
Candidates can choose a preferred title when applying for a job.
It’s saved to their candidate profile.
It can be used as a placeholder in email templates.
Emails sent to candidates will automatically include the right title or greeting, with no extra work on your part.
Add title fields to the application form
Invite candidates to share their preferred titles when completing a job application.
To add candidate title fields to an application form, you need the Manage jobs permission.
1. Go to the relevant job and select Application in the job editor.
2. In the Candidate information section, click + Add new.
3. Add a General title and/or Professional title field.
4. Choose whether each field is Optional or Required (they are Required by default).
5. Save your changes.

Once added to a job, candidate title fields appear at the top of the application form on your careers site.
They are automatically translated to match the job’s language. You can also add your own translations if needed.

If referrals are enabled for a job, candidate title fields can also be used in the referral form.
These fields are hidden by default. To make them Optional or Required, go to Settings > ReferralHub > Configure > Referral form.
Manually add or update candidate titles
Any titles you add to a candidate will be visible on their profile.
To make these changes, you need the Manage candidates permission.
Adding new candidates
Candidate title fields are available when adding candidates:

using Convert to candidate in the mailbox
Importing candidate titles is not supported.
Updating existing candidate profiles
You can edit titles directly from a candidate’s profile.
1. Open the candidate’s profile and click the pencil icon next to their name.
2. Select the appropriate titles from the dropdown menus.
3. Save your changes.
Adding or editing titles on mobile
When adding a candidate via the + icon, tap Edit titles and choose the appropriate titles from the dropdown list.
You can also update a candidate’s title from the More menu on their profile.
📌 Note: Candidate titles remain hidden when a candidate is anonymous.
Add candidate titles as placeholders
You can add candidate titles or formal greetings to emails and email templates using placeholders. This helps personalize candidate communications at scale.
Available placeholders:
[candidate.general_title] (e.g., Ms.)
[candidate.professional_title] (e.g., Professor)
[formal_greeting.titles_last] (e.g., Dear Professor Vasquez)
📌 Note: Candidate title placeholders can also be used in email templates for offer letters.
Adding placeholders on mobile
In the mobile app, placeholders can be added by selecting an email template or by typing them manually.
For example, typing [j or [c will show a list of related placeholders to choose from.
To replace an existing placeholder, tap it and select a different option.
Placeholder translations
The system automatically translates placeholders into English, Dutch, German, French, Swedish, and Finnish. It does not provide translations for other languages.
When creating placeholder translations, the system follows this order:
1. The language the candidate used to apply.
2. The job’s default language.
3. The company’s language.
If a language is not supported, the system will use the next option on the list.
For example, if a job is available in German and Polish, and the candidate applies in Polish, the system will generate the email placeholders in German.
