Fully automated event scheduling via WhatsApp

Learn how to automate the entire interview booking process with WhatsApp Hiring and Tellent Recruitee.

With WhatsApp Hiring, candidates can independently book their interviews via the Event Scheduler. The entire process - from invitation to appointment confirmation - can be automated through WhatsApp, ensuring an efficient recruiting workflow.

Requirements

Before using the automation, the following prerequisites must be met:

  • An Event Scheduler link exists in Tellent Recruitee

  • A WhatsApp Message Template that contains the Event Scheduler link as a placeholder

  • An automation in WhatsApp Hiring to send the template


Step 1: Create an Event Scheduler in Tellent Recruitee

First, an Event Scheduler must be created in Tellent Recruitee. This allows candidates to independently book an interview.

Important: If Tellent Recruitee is connected to a calendar (e.g., Google Calendar or Outlook), booked appointments are automatically transferred to the linked calendar. This ensures all interview participants always have an overview of their schedules.

Steps:

  1. Create a new Event Scheduler link in Tellent Recruitee if none exists

  2. Define available time slots and participants

  3. Ensure calendars are correctly connected


Step 2: Create a WhatsApp Message Template with Event Scheduler Link

To send the Event Scheduler automatically or manually, a WhatsApp Message Template must be created:

  • The template must contain the Event Scheduler link as a placeholder

  • Optional: additional placeholders (e.g., candidate data) can be used

  • The template must be approved by Meta

Step 3: Set Up Automation to Send Invitations

To automate sending the invitation template, go to WhatsApp Hiring:

  1. Select the pipeline stage in which the automation should be triggered

  2. Choose the previously created Message Template containing the Event Scheduler link

  3. Save the automation

Once a candidate reaches the defined stage, a WhatsApp message with the booking link will automatically be sent.

Step 4: Automate Interview Confirmation (Available in our Optimize plan)

To automatically send an interview confirmation via WhatsApp, you must first define in the job workflow that candidates who have booked an appointment are automatically moved to the next stage.

Once the candidate has been moved, an automation can be set up in WhatsApp Hiring to send the event confirmation.
​

Procedure in WhatsApp Hiring:

  1. Select the stage that is reached after the appointment is booked

  2. Choose a confirmation template

  3. Save the automation

➑️ Candidates will automatically receive a WhatsApp confirmation and can reschedule their appointments themselves if the Event Scheduler link is included as a placeholder.


Manual Sending of WhatsApp Templates

All created Message Templates - both invitations and confirmations - can also be sent manually to candidates at any time.

Useful if:

  • Interviews need to be coordinated individually

  • Automation does not apply to all candidates

  • An appointment needs to be confirmed or rescheduled again
