Custom fields

Every company hires differently. With custom fields, you can tailor job and requisition forms to fit your process while keeping things organized and consistent. In Recruitee, you can create fields like "Hiring Team" or "Salary" and add them to jobs.

📌 Note: You can have up to 3 custom fields on the Grow plan, and unlimited fields on the Optimize plan.

Benefits of custom fields

  • Specified job details and collaboration: Custom fields capture job-specific details, keeping your team aligned.

  • Improved work organization: Some custom fields can be an easy replacement for tags.

  • Consistency across jobs: Assign custom fields to templates, ensuring uniformity in new and existing job postings.

  • Simplify approvals: Add custom fields to requisitions for centralized position details and streamlined stakeholder approval.

Types of custom fields

  • Text (Single line)

  • Single choice

  • Multiple choice

  • Yes / No

  • Number

  • Date

  • User (single choice)

  • User (multiple choice​)

📌 Note: You can use user-type fields to assign team members to a field. However, this doesn’t grant them permissions for the job or make them job followers.

Creating new custom fields

📌 Note: Make sure you have the "Create custom fields" permission enabled to create new custom fields.

Follow these steps to create a new custom field:

  1. Go to Settings > Workflow > Custom fields. You’ll see a couple of custom fields that are added by default.

  2. Click + New field and complete the following steps:

  • Name the field: Enter the desired label for the field.

  • Select the field type: Choose from options like text, single choice, multiple choice, yes/no, number, money, date, or user-related fields.

  • Required vs Optional: Toggle to make the field mandatory or optional. If the field is required, in jobs, recruiters will need to fill it out before publishing. In requisitions, the field must be completed before sending for approval.

  • Display: Determine where the field will appear, such as on the careers site, in blank jobs, or job templates.

📌 Note: If Requisition Approvals are enabled in your company account, the "Use this field in" section will appear. You can then assign the field to jobs and requisitions.

Editing custom fields

To edit a custom field, click the pencil icon in the top-right corner. To delete, duplicate or to see in which jobs, templates, or requisitions the field is used, click the more menu (three dots).

📌 Note: If you edit the custom field, your changes will apply to all jobs, templates, draft requisitions, the careers site, and job boards if the job is promoted.

Managing custom fields

Ensure you have the "Add custom fields to modules" permission enabled to be able to add or remove custom fields in jobs, templates and requisition forms.

When to use custom fields?

Custom fields can help your company maintain consistency and streamline processes across all jobs. Here’s how to make the most of them:

  • Assign custom fields to job templates to ensure a consistent process is followed company-wide.

  • Use the jobs module to add custom fields to existing jobs during a transition period. That’s when a job is created and needs some adjustment.

  • Directly assign custom fields to unique jobs that have specific requirements.

In a single job

Follow these steps to manage custom fields in one job:

  1. Open the job in the editor.

  2. Click Manage fields in the top-right corner.

  3. In the window that appears, you’ll see a list of all existing fields. Select the fields you want to assign to the job. Or, deselect the fields you want to remove.​

    📌 Note: If you don't see the option to manage fields, double-check your permissions or contact your admin.

Custom fields in job templates

To add or remove a custom field in a job template, follow these steps:

  1. Go to Company settings > Templates > Jobs.

  2. Click the pencil icon next to the job template that you want to update.

  3. Click Manage fields in the top-right corner.

  4. In the window that appears, you’ll see a list of all existing fields.

  5. Select the fields you want to assign to the job. Or, deselect the fields you want to remove.

Tips

  • Ensure the selected templates require the same fields to avoid inconsistencies.

  • Double-check your changes to maintain uniformity across templates.

  • If you don’t see these options, verify your permissions or contact your admin.

Custom fields in requisition approvals

You can add custom fields to the "Requisition Details" section of your approval form.

  1. Go to Settings > Workflow > Requisition Approvals.

  2. Navigate to the Requisition Form tab.

  3. Click + Add field.

4. In the window that appears, you’ll see a list of all available fields.

5. Fields with a "Requisition only" badge appear only in requisition approvals. If fields are used in both jobs and requisitions, the requisition values will carry over to the job.

6. Select the fields you want to assign to the requisition form.
