Schedule emails and text messages to send later

Use Send later to schedule an email or text message to a candidate for a specific date, time, and time zone.

Introduction

Writing a message when it suits you doesn’t always mean sending it when it suits your candidate. Send later lets you write now and have Recruitee deliver later, at a date and time you pick — so you don’t have to park a draft somewhere and remember to come back to it.

You can schedule from anywhere you’d normally send: your mailbox, a candidate profile, a bulk email from the candidate overview, and a text message thread. Look for the Send later button next to Send.

Schedule an email

Write your email as you normally would.

Click Send later, next to Send.

Choose when to send it, either from the suggested times or by picking your own.

The top of the dropdown menu shows the time zone your chosen time will be read in.

Use a suggested time

The dropdown menu offers up to three suggested times based on the current moment, each one landing in either a morning slot (around 9 AM) or an afternoon slot (around 4 PM). They’re labeled in plain language — Later today, Tomorrow morning, Tomorrow afternoon, or a named weekday such as Thursday morning — with the exact date and time underneath.

Click a suggestion and the email is scheduled immediately. There’s no extra confirmation step.

If you’ve scheduled a message before, the menu also shows a Last set for entry that repeats your previous choice. It’s a shortcut stored by your browser, so it won’t follow you to a different browser or computer.

Pick an exact date and time

In the dropdown menu, click Schedule.

Pick a date in the calendar.

Pick a time. Times are offered in 15-minute steps.

Click Schedule.

Note: You can’t schedule a message in the past. Earlier dates and times are blocked in the picker, and Schedule stays inactive until you choose a valid one.

Schedule a text message

Text messages work the same way. Open a candidate’s text message thread, write your message, and click Send later instead of Send. You get the same suggested times and the same Schedule option.

Scheduling a text needs everything a normal text needs — texting enabled on your account, a company phone number, and consent from the candidate — plus the Send later feature on your plan.

View, edit, or delete a scheduled message

A scheduled message stays visible in the thread it belongs to, so you can find it wherever you’d find the conversation.

From the candidate profile or mailbox thread

A scheduled message shows a Send scheduled for bar with a calendar icon and the delivery time. Anything going out today or tomorrow is highlighted, and you can point at the time to see the full date. If you scheduled the message in a different time zone from your own, that time is shown underneath as well.

Two controls sit on that bar:

Edit — reopens the message so you can change the content, the subject, or the scheduled time.

The bin icon — deletes the scheduled message.

Note: When you edit a scheduled message, the To, Cc, and Bcc fields are locked. To send to someone else, delete the scheduled message and write a new one.

Important: Deleting is permanent. You’ll be asked to confirm with Delete message, and the warning tells you the message goes along with any attachments in it. There’s no undo.

From the Scheduled folder

Your mailbox has a Scheduled folder in the sidebar, marked with a calendar icon, that collects everything you have waiting to go out. The counter next to it tells you how many messages are queued.

Open the folder to review your scheduled messages in one place and edit or delete them from there. If nothing is scheduled, you’ll see No scheduled emails.

Schedule emails from automated actions

Automated actions for your pipeline stages and disqualify reasons can also hold an email back rather than sending it the moment the action fires. This is the natural partner to Send later: instead of scheduling one message by hand, you set the delay once and every candidate who hits that trigger gets the same treatment.

The difference is what you’re choosing. A Send later email goes out at a fixed date and time. An automated email goes out after a delay measured from the moment the automation runs, so the actual send time is different for every candidate.

When you add an email to an automated action, open the timing dropdown menu and choose one of these:

  • Send immediately — no delay.

  • The following morning — the next day, at the time shown next to the option.

  • 2 days after or 3 days after — the same, further out.

  • Schedule — set your own number of days and a time.

Note: Delayed automated emails skip weekends. The dropdown menu says so directly: Weekends will be skipped when sending is delayed.

FAQs

Does the candidate know the message was scheduled?

No. A scheduled message arrives as a normal email or text. The scheduling details are only visible to your team inside Recruitee.

Does my computer need to be on for it to send?

No. Once a message is scheduled, Recruitee sends it. You can close the app, log out, or be on holiday.

Can I schedule a message to a group of candidates at once?

Yes. Select the candidates in your candidate overview, compose the bulk email, and use Send later exactly as you would for a single message.

What happens if I edit a scheduled message?

Your changes are saved and the message stays scheduled. You can change the time at the same time, but not the recipients.
