Managing recruitment agency relationships through Recruitee involves proper setup and configuration. Companies often need to:

* Add new agencies to Recruitee

* Configure contract terms and fee structures

* Send and manage invitations

* Organize agencies into lists

* Monitor agency status and engagement


The AgencyHub streamlines agency management by providing a structured setup and invitation process, ensuring all agencies are properly onboarded from day one.

Prerequisites

  • Administrator access to Recruitee

  • Agency contact information

  • Defined contract terms

  • Fee structure decisions

Process overview

1. Accessing Agency Management

  1. Go to AgencyHub

  2. Navigate to Agency Management

2. Adding a new agency

📌 Note: Agencies must be invited individually to ensure proper contract configuration and terms for each agency. This helps maintain accurate records and specific agreements for each partnership.

  1. Click the Add Agencies button on the Agency Management page.

  2. Enter the required agency details:

  • Agency email address

  • Agency full name or contact person

  • Select an appropriate contract

  • Choose transaction currency

📌 Note: The invitation won’t reach the intended recipient if you enter an incorrect email address. You can send a new invitation using the correct email address. The incorrect invitation will expire automatically.

3. Configuring contract details

  1. Click Show fields to reveal additional options.

  2. Select the contract type:

  • Permanent

  • Freelance

  • Secondment jobs

3. Set fee structures and payment terms.

4. Setting transaction fees

  1. Enable the transaction fee toggle.

  2. Choose fee arrangement:

  • Company pays full fee (0%)

  • Split fee arrangement (50/50)

  • Agency pays full fee (100%)

3. Add any relevant comments.

5. Managing agency lists

  1. Click Add to list to save without an invitation.

  2. Or click Add & Invite to save and send an invitation.

  3. Monitor agency status in the list.

6. Customizing invitations

  1. Click Edit invite email.

  2. Modify the introduction text.

  3. Preview the complete email.

  4. Send invitations to selected agencies.
