How to prepare agencies for the AgencyHub go-live

Here are the essential steps to prepare and invite agencies to Recruitee’s AgencyHub.

Managing recruitment agency relationships traditionally involves complex paperwork, scattered communications, and inconsistent processes.

Companies often struggle with:

The AgencyHub streamlines agency management by providing a structured invitation and onboarding process.

It ensures all agencies are appropriately vetted, contracted, and integrated into your recruitment workflow from day one.

Prerequisites

  • Administrator access to Recruitee

  • Agency management permissions

  • Valid agency contact information

Accessing Agency Management

  1. Go to AgencyHub.

  2. In the navigation panel, click on Agency Management.

How to invite an agency

1. Click Add Agencies

2. Enter the required agency details:

  • Email address

  • Full name of agency or point of contact

  • Select an appropriate contract

  • Choose a currency for transactions

3. Click Show fields to reveal additional options

How to configure a contract

1. Select the preferred contract form you wish to edit

2. Fill in required fields:

  • Fee structure (Percentage, Fixed, or Custom)

  • Fee details

  • Payment terms

  • Replacement period

  • Guarantee period

  • Exclusivity terms

Setting transaction fee options

  1. Configure the transaction fee arrangement:

    • Option 1: Your company pays the transaction fee

    • Option 2: The agency pays the transaction fee

    • Option 3: Split fee arrangement (you specify the percentage split)

  2. Adjust the percentage slider as needed.

  3. Add any additional comments in the “Other information” section

Finalizing Agency Setup

  1. Click “Add to list” to save the agency information

  2. Review the agency status (will show as “Not invited”)

  3. Prepare for the formal invitation process

  • Verify all agency information before proceeding

  • Set clear fee structures and payment terms

  • Document all special arrangements in the comments

  • Review contract terms thoroughly

  • Consider standardizing fee structures across similar agencies
