Tellent Recruitee AgencyHub

Agency hiring simplified.

Connect Tellent Recruitee AgencyHub to streamline collaboration with recruitment agencies. With this add-on, you can connect your jobs to external suppliers in just a few steps.


Prerequisites to enable the AgencyHub

Before getting started, make sure the following conditions are met:

  • You have purchased the Tellent Recruitee AgencyHub add-on.

  • You have received the confirmation from Tellent that you can enable the AgencyHub.

  • You are an Administrator in your Recruitee account.

Check your role:

  1. Log in to your Tellent Recruitee account.

  2. Go to your account settings: Settings > COMPANY > Team member, and ensure your role is designated as Administrator or with a hiring role with Manage integrations rights enabled under the hiring roles Add-ons.

  3. If you’re not an administrator, ask an admin to complete the integration steps by requesting it via the marketplace listing by clicking on the button Request integration.


Recruitee AgencyHub two-step activation

First step: Marketplace connection

  1. Log in to your Tellent Recruitee account.

  2. Accept the Terms by clicking Accept and integrate.

  3. Accept the Terms by clicking Accept and Connect.

  4. The AgencyHub is now connected.

    Details are available on the Marketplace listing Settings page.

Second step: AgencyHub connection

  1. Still within your Tellent Recruitee account, go to: ​Settings > APPS & PLUGINS > Personal API token and collect your Company ID and Personal token for Recruitee AgencyHub integration.

  2. Navigate to: Settings > APPS & PLUGINS > Webhooks, and collect your Secret.

  3. Save the information securely — you will need it to connect the integration.

  4. Navigate to AgencyHub on the account sidebar, fill in the saved information, Token, and Company ID, and click Continue.

Then fill in your Secret and click Set up integration. The first sync may take up to 5 minutes. Sit back and relax — we’ll handle the rest.

Other company users can now connect via the Marketplace listing Settings page.

You’re all set! 🎉

You can now collaborate directly with recruitment agencies through the Tellent Recruitee Agency Hub.


Removing the integration

You can remove the integration by clicking the Remove Integration button. 

⚠️ Warning: Review these points thoroughly before taking any action regarding the integration:

  • If you remove the integration, Agencyhub will be disconnected, and you will lose the data. Ensure you use this feature only if you are sure about stopping its use. 

  • Disconnecting it won't stop the add-on billing; you must request it through our internal communication channels.


AgencyHub

The AgencyHub enables you to work directly with external recruitment agencies and their staff through Recruitee. Instead of managing agencies through emails and spreadsheets, you get a unified system where agencies can access jobs, submit candidates, and communicate with your team. You can start by configuring your hiring needs effortlessly through the best recruitment agencies.

Agency Management

Manage your internal and external agencies, or invite new ones. Your framework agreement also applies here.

  • View all your agencies in one list

  • Work fully secure and compliant with checks if they commit to your set terms.

  • Organize agencies into groups (e.g., "Tech Specialists", "Top Performers")

  • Track which agencies are active vs. inactive

Invite an agency:

  1. Click Invite Agency

  2. Enter their email and basic information

  3. Choose a fee structure and terms

  4. Click Send Invite

  5. The agency receives an email to set up its account

Agencies contracts

To begin, you can go to Agency Contracts and create a contract with your terms. This can be a framework agreement for, for example, perm, contract, or temp hires, but also for freelance, data-fast, or interim—anything can be added here under your conditions.

Hiring Approvals

This section allows you to review and approve new hires before they officially start. Hires are added to the list automatically, although there may be a short delay in their appearance. You can filter the list by candidate name, job title, or department to quickly find specific entries. Each record displays key details such as the candidate’s name, job title, current status, working type, invoice amount, transaction fee, and the associated agency.

Agency Portal Settings

The Agency Portal Settings section allows you to manage how agencies interact with your recruitment system. A key feature is duplicate candidate prevention, which ensures that agencies cannot submit the same candidate more than once by checking identifiers such as email, phone number, or LinkedIn profile. You can also regulate how the system responds when an agency attempts to move a candidate. Depending on your preference, it can block the action or notify you. It's important to note that the system never moves candidates within Tellent Recruitee.

Agency Analytic

The Agency Analytics section provides a general overview of your recruitment activity and supplier performance. It includes insights across key areas such as jobs, interviews, suppliers, spending, and budget.

Key metrics:

  • Agency performance comparison (submission quality, speed, success rates)

  • Cost tracking and budget management

  • Time-to-hire by agency

  • Submission-to-hire conversion rates

  • Return on investment (ROI) by agency

Assign Agencies to Jobs

Here you’ll find an overview of which agencies can view your vacancy if you lack sufficient recruitment resources to fill this newly posted position quickly.

How it works: Share jobs directly from your standard Recruitee workflow

  1. Open any job posting in Recruitee

  2. Click "Assign Agencies"

  3. Select which agencies should see this job

  4. Click "Confirm Selection"

  5. Selected agencies instantly know the job in their hub

💡tip: Create agency lists (like "Tech Agencies" or "Senior Roles") to share with groups quickly.

Agency Chat - Candidate Profile

Talk directly with agencies about specific candidates. For example, you can contact the agency and inquire about the candidate. You will also receive the salary proposal along with any additional comments in the notes.

Best practice: Use the candidate-specific threads instead of separate emails to keep everything organized.

  • Share interview feedback and next steps

  • Send files and documents securely

  • Complete message history for each candidate


Agency Dashboard

Agencies will have visibility; they can view their candidates' status without contacting you via their dashboard.

Agencies can see:

  • Current stage of each candidate (Interview, Review, Offer, etc.)

  • Timeline progression

  • Any feedback you choose to share

Agencies can't see:

  • Other candidates in your pipeline

  • Internal notes or scores

  • Sensitive company information
