Recruitee is committed to providing flexible tools to allow our customers to configure our GDPR features to meet their compliance needs best. Ultimate responsibility for compliance rests with you. But these features help you meet that responsibility with minimal fuss.
Enabling GDPR features
Go to Settings > Company Settings > GDPR and click the toggle next to Enable GDPR features.
Candidate retention period
The Retention period determines how long the candidate's personal details, application materials, interview records, and other related data are stored. This period starts when the candidate applies on the careers site and ends after the set time.
Candidates get GDPR statuses based on this retention period, so you can manage how long their data is stored in your account.
You can also select who should receive reports about expired candidate profiles.
💡 If a candidate applies on your careers site more than once and you decide to merge their profiles, their latest application counts for their retention period.
Additionally, when a profile's retention period is set manually, the furthest manually set retention period is the final one.
Candidate’s full names in synced calendars (Google, Microsoft, etc…)
Protect your candidate’s privacy when you schedule interviews with candidates and automatically remove the candidate’s name from calendar invitations to participants by hiding it behind a link to the Recruitee account.
This option protects the candidate’s privacy and allows for personal information not to be processed by external parties.
Show full names leaves the option for recruiters to decide to include or not a candidate’s name in synced calendar invitations.
Don’t show full names makes it impossible for recruiters to allow candidate’s names to appear in synced calendar invitations.
Privacy policy
Add a link to your privacy policy to include in the consent request emails you send to candidates.
GDPR email footer
When you enable GDPR features, an email footer template will automatically be added to your auto-confirmation emails, containing links through which candidates can request deletion or correction of their data. Under GDPR email footer, you can see if all of your jobs have this option enabled and fix it if this is not the case.
Click Edit to customize the footer to match your company details.
GDPR automation
Stay on top of your GDPR compliance by automating repetitive tasks like requesting candidate consent to remain in your database and deleting those who have expired, have not provided consent, or have requested to be deleted.
