Consent and other GDPR links

You can use GDPR links to make sure your candidates have control over their data by inserting removal request and correction request links into the GDPR footer of your company account. The consent request link can be sent to candidates directly via email to request consent to store the data of candidates that didn’t apply through your careers site or to request consent to store their data for longer than they have already consented to.

To insert a GDPR link into an email or email template, simply click +Insert, select GDPR links, and select one of the options.

Select a number of days to extend the extension period by if you are sending a consent link, fill in the text that will be hyperlinked in the email, and click Insert link.

Consent request

This link will ask the candidate it is sent to for permission to store their data for a set number of days. You can send this link to candidates you have added to your database manually, or that have been referred or sourced. You can also send this link to candidates whose retention period is about to expire that you would like to keep in your database for longer, for example, if you’d like to add them to a talent pool.

Note:

  • Candidates receiving this link will also be sent your privacy policy, so make sure to add this under Settings > Company Settings > GDPR.

  • While the removal request and correction request links are added to the GDPR footer, the consent request link should only be added to the body of an email. We do not recommend adding a consent request link to the footer.

A candidate has 30 days to respond to the link. Should a candidate that this link is sent to decline your request or not respond, their status will revert to what it was before the consent request was sent.

Removal request

Candidates can request for their data to be removed from your database via this link.

Once they have filled in the request, a banner with it will appear in their profile and they will appear under the GDPR compliance filter in the candidates section.

Note: With GDPR automations you can schedule for candidates who have sent a removal request to be deleted automatically.

Correction request

If their data changes, candidates can let you know via a correction request.

This information will appear in a banner in their profile and they will appear under the GDPR compliance filter in the candidates section.
