Custom Application Flows in WhatsApp Hiring

With the new Custom Flows, you can design your application process via WhatsApp in a more flexible and compact way.

While the classic setup remains ideal for adopting existing application structures, Custom Flows give you additional flexibility when shaping the candidate experience on WhatsApp. In the classic setup, the bot guides candidates through a fully conversational flow and asks all application questions step by step. With Custom Flows, the process is intentionally more streamlined, and the interaction happens via an embedded form rather than a dialogue-based chat.

A key difference:
A complete Custom Flow is bundled into a single WhatsApp message (including the form). This creates a clear and compact experience without sending multiple bot messages.


Setup Overview

Left side: Configure flow
This is where you define all content and settings of your application flow.

Here you can see in real time how the flow will appear in the WhatsApp chat.

Step-by-step: Create a flow

1. General settings

  • Flow name
    Internal name (only visible to your team)

  • Message text
    The WhatsApp message used to send the flow
    (e.g. invitation to apply)

  • Button text
    Label of the button that opens the form
    (e.g. “Start application”)

  • Form title

  • Submit button text

2. Assign jobs

  • Select the jobs this flow should apply to

  • Optional:
    “Apply this flow to all jobs that have no other flow”
    → Can be used as a default flow for jobs without a dedicated setup

3. Add form components

This is where you define the actual application process.

Available components:

  • Text → for questions or introductions

  • Heading / Subheading → for structuring the form

  • Field types:

    • Name (required)

    • Email

    • Text

    • Dropdown (single selection)

    • Multiple choice

    • Date (e.g. start date)

The order of components can be adjusted at any time, allowing you to optimize the flow even after it has been created.


💡 Best practices

  • Keep field labels short
    → WhatsApp allows a maximum of 20 characters per field
    → For longer questions, use a text component above the field

  • Use structure
    → e.g.:

    • Work Experience

    • Personal Information

  • Keep it concise
    → Since the flow is sent as a single message, a clear and focused structure is key

Transferring responses to Recruitee

  • Each form field is linked to a candidate profile field in Recruitee

  • If a field does not yet exist, it will be created automatically

  • All responses are directly stored in the candidate profile

⚠️ Note on chat behavior

Within a Custom Flow, the bot does not answer free-form questions.
The flow is designed to guide candidates through a structured process to ensure a consistent and efficient application experience.
