When scheduling an event, you can decide to invite participants directly through your Outlook or Google calendar. This can improve the candidate experience and lower the chance of no-shows.

Email invitation vs. Calendar invitation

Candidates invited via your calendar won’t need to manually add the event to their own calendar, as the event will automatically appear in their agenda. They can then easily respond to the invitation by clicking “Yes/Maybe/No”.

Candidates invited via email only can still add the event to their calendar, but will need to manually do so by clicking the “Add to calendar” button. Some candidates may forget about this! They can still respond to the invitation but it might be less intuitive, as they will need to click the “Accept or decline” button in the email.

What’s the benefit of inviting via calendar?

Calendar invitations improve the candidate experience and reduce the chance of no-shows.

Your event will automatically appear in the candidate’s Google or Outlook calendar.

Candidates will receive reminders from their own calendar.

Candidates can respond “Yes,” “Maybe,” or “No” intuitively.

How many emails will candidates get?

If you select both “Invite via email” and “Invite via calendar,” the candidate will receive two separate emails: one from Recruitee and one from your connected calendar.

To limit the number of emails, select only one of these options.

Which email address is the invitation sent from?

When “Invite via email” is selected, the invitation is sent from your email address.

When “Invite via calendar” is selected, the invitation is sent from the organizer’s connected calendar. For example, if the hiring manager synced their calendar with Recruitee and is set as the event organizer, the candidate will receive the invitation from the hiring manager's email address.

How can I keep the candidate name private?

There are two options for this:

You can enable a GDPR setting "Don't show candidate full names in external calendars", but it will not be possible to invite candidates via calendar with this setting active.


Or you can tick the “Make event private in synced calendars” in your event's privacy settings. This will let you invite candidates via calendar and still keep their name private. Uninvited users will not see the candidate's name, even if the candidate is added to the event via an external calendar.

What if the candidate doesn’t use Google Calendar, Outlook or iCal?

They will still get an email invitation with all the email details.
