How to receive candidates from external parties in your Recruitee account

There are two options to receive candidates from external recruiters and agencies in your Recruitee account.

Option 1 – External recruiters and agencies submit candidate applications via a custom URL (recommended)

1. Click Jobs in the left menu > Select the job you want external recruiters and agencies to send candidates to.

2. Click Share in the top right corner.

3. Under Job's link, click Copy > Paste the job's link to a text editor.

For example, you will get "company.recruitee.com/o/job"

4. Add "?source=recruiter/agencyname" at the end of the job's link to create a custom job link. 

You will need to make a custom job link for each external recruiter or agency you work with.

For example, "company.recruitee.com/o/job?source=humancapitalagency" is the custom job link for an agency called "humancapitalagency".

📌 You can add spaces to the custom job link (company.recruitee.com/o/job?source=human capital agency) and use capital letters (company.recruitee.com/o/job?source=HumanCapitalAgency).

📌 Be consistent with naming your external recruiter and agency in each job link. Because the source tags are case-sensitive, "human capital agency" and "HumanCapitalAgency" will be counted as two separate tags. You will need to manually merge them later. Read more: Manage tags and source tags.

5. Give the custom job link to the corresponding external recruiter or agency you work with.

6. When an external recruiter or agency completes the application form via a custom job link, the candidate profile created in Recruitee will have the external recruiter or agency's name tracked as a source tag and as the application status.

For example, if a recruiter from "humancapitalagency" completes an application via the custom job link "company.recruitee.com/o/job?source=humancapitalagency", The candidate profile created has "humancapitalagency" saved as a source tag and "Applied via humancapitalagency" as the application status.

💡 If an external recruiter or agency wants to submit extra information per candidate, you can create additional screening questions for them to fill out. Make sure that this is not confidential information because it will be visible to all team members whose hiring roles allow View section in Candidates.

Option 2 – External recruiters and agencies send CVs to an email address that will automatically parse the CVs into candidate profiles in Recruitee

1. Click Jobs in the left menu > Select the job you want external recruiters and agencies to send candidates to.

2. Click Share in the top right corner.

3. Under Job inbox, click the Copy symbol on the right. This is the email address of the job's inbox.

4. Give the email address of the job inbox to the external recruiters and agencies you work with.

5. When external recruiters and agencies send a CV to a job inbox, Recruitee will automatically parse the CV into a candidate profile and put it in the job's pipeline.

📌 Always attach only one real CV in PDF format PER email when sending to a job inbox. The CV must contain an email address to be parsed. This is the best way to ensure the system parses the CV correctly and converts it into a candidate profile in Recruitee. If by any chance the CV isn't parsed, you can find the forwarded email with the CV attached in the non-candidates folder. You can convert it to a candidate profile anytime.

⚠️ If you attach more than one CV to an email sent to a job inbox, Recruitee will randomly pick and parse only one CV, leaving the rest not parsed. 

📌 Always write a subject line for the email sent to a job inbox.

📌You can't add a source tag to the candidate profiles using this method. You need to do it manually after the candidate profiles have been created. Read more: Edit candidate profiles.
